Plain-English summary. Sydney City Roleplay is a free ER:LC roleplay community. We sign you in with Discord (no email, no password), encrypt any ER:LC key connected to the city, and never sell your data. The CAD, dispatch, Command Center and Staff Zone are provided as-is. Your rights under the Australian Consumer Law always apply and can't be signed away. You can delete everything you own from Settings.
If you run a department, read section 6c. Command Center, Staff Zone and CAD let you record information about other people (your staff and your players). When you use them, you take on real responsibility for how that information is handled.
Terms of Service
1. Who we are and what these terms cover
Sydney City Roleplay ("Sydney City Roleplay", "we", "us", "our") operates this website and its related services: the Command Center (live server control), the Staff Zone (staff shifts, applications and activity), the CAD (a computer-aided dispatch platform), roster and shift management, and the Discord bot (together, the "Service"). By signing in or using the Service you agree to these terms, which form a binding contract between you and Sydney City Roleplay. If you do not agree, do not use the Service. These terms are governed by the laws of Australia and the State or Territory in which you ordinarily reside, and they incorporate your non-excludable rights under the Australian Consumer Law (the "ACL").
2. Eligibility and minors
You must be old enough under Roblox's and Discord's rules to hold an account on those platforms. If you are under 18, you confirm that a parent or guardian has reviewed and accepted these terms on your behalf and consents to your use of the Service, including any purchases. A parent or guardian may contact us at any time via the support form to review, correct, or delete a minor's account.
3. Relationship to other platforms
Sydney City Roleplay is an independent service. We are not affiliated with, endorsed by, or sponsored by Police Roleplay Community (PRC), Emergency Response: Liberty County (ER:LC), Roblox Corporation, Discord Inc., Netlify Inc., or Bloxlink. You remain bound by each platform's own terms when you use it, including the Roblox Terms of Use and Community Standards, the Discord Terms of Service, and the PRC API terms. We may suspend or change features where required to stay compliant with those platforms or with the law.
4. Your account
- You sign in with Discord OAuth. You are responsible for activity on your account and for keeping your Discord account secure. Tell us promptly if you believe your account has been compromised.
- One person per account. Do not sell, rent, share, or transfer accounts or staff access.
- We may suspend or terminate accounts that breach these terms, abuse the Service, or create risk for other users or the platform, with notice where practicable. Where a suspension affects a paid plan and is not due to your breach, the refund rules in section 8 and your ACL rights in section 9 apply.
5. Acceptable use
- You are responsible for the content you submit - department names, roster entries, dispatch notes, records, news content, and anything else you post in the Service.
- You must not submit content that is false or misleading, infringes intellectual property, sexualises or endangers minors, harasses or vilifies anyone, promotes scams, malware, or off-platform account trading, breaches Roblox or Discord rules, or is otherwise unlawful.
- You must not scrape the Service, probe or attack our infrastructure, circumvent or hammer rate limits, automate or bot interactions, or attempt to access other users' data or staff-only functions.
6. ER:LC API keys and reports
- You may connect an ER:LC server API key only for servers you own or are authorised to administer.
- We use your key solely to read server statistics for your event windows and connection tests. We never issue commands to your server.
- Reports are compiled from data the PRC API makes available and are provided for informational purposes. PRC may change, throttle, or withdraw its API at any time, which can affect report accuracy, completeness, or availability; that is outside our control. We will be honest about known limitations and flag them in-product.
- AI-generated summaries and forecasts are automated interpretations of your own data. They are estimates, may contain errors, and are not professional, financial, or legal advice.
6a. Roblox account linking
- You may optionally link your Roblox account to your profile so the city can verify you and record in-character activity. Linking is done either via Bloxlink's public API (which resolves your Discord ID to your Roblox ID using data you have already shared with Bloxlink) or via a code-in-bio verification that you initiate yourself.
- By linking your Roblox account, you confirm you are the legitimate owner or authorised user of that Roblox account and that you consent to us recording your Roblox user ID, username, and gameplay session data (server ID, session times, and department) in integrated servers.
- We read your Roblox user ID and username only. We never access your Roblox credentials, inventory, trades, purchases, or any data beyond what is described above.
- Your Roblox ID is stored encrypted and linked to your Discord session. You may unlink your Roblox account at any time from Settings, which stops future session recording. Previously recorded sessions are retained unless you delete your account entirely.
- Discord DM notifications are a convenience feature. We do not guarantee delivery of DMs where a user has DMs disabled or does not share a server with our bot.
6b. The CAD
- The CAD is provided as-is. It may contain bugs, may lose or misstate data, and may change or be taken down. Do not rely on it as a system of record, and do not put anything into it that you cannot afford to lose. This does not displace your ACL rights in section 9.
- The CAD is free to use. Access is managed by the city's command team through invites and roles rather than by any paid plan.
- Roles. The person who opens a CAD is its owner and has full control, including deletion. Owners may grant admin rights (full control except owner-only actions) and may make members department heads or give ranks the Manage permission, which lets them run a single department's roster, ranks and invite link and nothing else. Ranks may also carry Dispatch (create and manage calls) or Records (file citations, arrests and warrants). Ordinary members can mark up as a unit and look records up. Civilian-only members can use the civilian portal alone. Permissions are enforced on our servers, not in your browser.
- The owner is responsible for who they let in and what they empower them to do. Invite links are unguessable and can be rotated at any time, which immediately kills the old link. If you hand someone admin or a Manage rank, you are giving a real person real power over other people's records.
- Records are fictional roleplay records. Characters, vehicles, firearms, citations, arrests, warrants and BOLOs inside a CAD are in-character roleplay content. They are not, and must not be presented as, real criminal records, real legal process, or real government documents. Do not use CAD to store real personal information about real people, and do not use it to harass, defame, dox or intimidate anyone.
- Records are namespaced per CAD. We do not read them across CADs, and one CAD can never see another's data.
6c. When you record information about other people
- Command Center, Staff Zone and the CAD all let you collect and store information about third parties: the players in your server, the staff you manage, and the people who join your CAD. That includes Roblox usernames, in-game activity, shift and moderation history, and roleplay records.
- For that information, you are the one deciding what is collected and why, and we are processing it on your behalf and at your direction. You are responsible for collecting it lawfully, for telling your community what you are recording, for handling access and deletion requests from your own members, and for not using it to harass, punish unfairly, or expose anyone.
- You must not use the Service to build profiles of people who have not agreed to it, to track anyone outside your own server and CAD, or to collect real-world personal information (real names, addresses, schools, phone numbers, real photographs) about anyone. This is a roleplay tool, not a surveillance tool.
- We may remove content, suspend a CAD, or terminate an account that breaches this section, and we will act quickly where a minor's safety is involved.
7. Cost and payments
- Sydney City Roleplay is free to use. There are no paid plans, subscriptions, boost credits, or in-app purchases. We do not take payments through this website and will never charge you to access the city, the CAD, dispatch, or any feature described here.
- Why this matters. Running the Service still costs us money (hosting, storage, the ER:LC API, AI usage, the Discord bot, and the domain). If that ever changes the way we offer the Service, we will update these terms first, and your ACL rights in section 9 continue to apply.
- Donations or support, if offered, would be entirely optional and would never gate access to any feature.
9. Your rights under the Australian Consumer Law
Our services come with guarantees that cannot be excluded under the Australian Consumer Law. Among other things, we guarantee that our services are provided with due care and skill, are reasonably fit for any purpose we describe, and match their description.
- If the Service has a major failure, you are entitled to cancel and obtain a refund for the unused portion, or to seek compensation for any reasonably foreseeable loss or damage. You may also choose to keep the service and seek compensation for the drop in value.
- If the failure is not major, you are entitled to have the problem fixed within a reasonable time, and if we do not do so, to cancel and obtain a refund for the unused portion.
- Nothing in these terms excludes, restricts, or modifies any guarantee, right, or remedy you have under the ACL or other law that cannot lawfully be excluded.
10. Liability (subject to the ACL)
Nothing in this section limits your non-excludable ACL rights in section 9. Where the law permits us to limit liability for a failure to comply with a consumer guarantee (other than guarantees for goods or services ordinarily acquired for personal, domestic, or household use), our liability is limited, at our option, to re-supplying the service or paying the cost of re-supply. Subject to that, and to the extent permitted by law, we are not liable for indirect or consequential loss, loss of data, or loss of profits, and our total aggregate liability for any claim not covered by a consumer guarantee is limited to the amount you paid us in the 3 months before the claim arose, or AUD $50 if you have paid nothing.
11. Intellectual property
You keep ownership of content you upload (such as logos and news content) and grant us a worldwide, royalty-free, non-exclusive licence to host, store, reproduce, and display it for the purpose of operating and promoting the Service. You confirm you have the rights to everything you upload. The Sydney City Roleplay name, logo, design, and software are our property. ER:LC, Roblox, and Discord names and marks belong to their respective owners.
12. Service availability and changes
We aim for high availability, but the Service may be interrupted, including by outages at Netlify, Discord, Roblox, PRC, Stripe, or Anthropic. We may change or discontinue features; where a change materially reduces the value of a paid plan, we will give reasonable notice and you may cancel and receive a pro-rata refund of the unused period. We may update these terms from time to time and will post the new version here with an updated date; material changes will be announced on the site before they take effect.
13. Contact and disputes
Questions or complaints: use the support form. We aim to acknowledge complaints within 3 business days and resolve them within 14 days. If we cannot resolve a complaint, you keep all of your rights, including the right to contact your State or Territory consumer-protection regulator or the ACCC. These terms are governed by the laws of Australia; nothing in them requires you to bring a claim anywhere other than a court of competent jurisdiction in the State or Territory where you reside.
Privacy Policy
1. Overview
This policy explains what personal information we collect, why, how we protect it, and your choices, consistent with the Australian Privacy Principles (APPs) in the Privacy Act 1988 (Cth). The short version: we collect the minimum needed to run the city, the CAD and dispatch; we never sell your data; and you can delete everything you own from Settings.
2. What we collect
- Account data: your Discord user ID, username, global display name, and avatar, received when you sign in with Discord OAuth. We do not receive your email address or password.
- ER:LC API key: stored encrypted at rest using AES-256-GCM. It is decrypted only at the moment a report or connection test runs, and you can remove it at any time in Settings.
- Event and report data: your listings and the statistics compiled into reports (joins, sessions, staff activity, mod calls, queue) as exposed by the PRC API for your server.
- Delivery settings: a Discord webhook URL if you save one, your bot-DM opt-in choice, and any extra report-recipient Discord ID you attach to an event.
- Advertising data: your ad creative, destination link, booking dates, and aggregate performance metrics (impressions, clicks, click-through). Click and impression logging is used to give advertisers their analytics and to detect abuse.
- Payment data: handled entirely by Stripe (card) or Roblox (Robux). We store only your plan, its verification timestamp, the Stripe customer reference, and, for Robux verification, the Roblox user ID you supply. We never receive or store card numbers.
- Command Center and Staff Zone data: where you connect a server, we process the in-game player list, staff shift records, moderation and command history, staff applications, and activity/grind metrics for the staff of your server. This is information about other people, recorded at your direction. See Terms section 6c.
- the CAD data: for each CAD, we store its departments, ranks, invite codes, member list and per-member permissions, unit statuses, dispatch calls, BOLOs, an activity log of who did what, and the roleplay records members create (characters, vehicles, firearms, citations, arrests, warrants). CAD data is namespaced per CAD and is never read across CADs.
- Roblox verification data (CAD): if a department requires it, we verify a Roblox account using the official Roblox API and the code-in-profile method, and store the resulting Roblox user ID, username and avatar URL. We never see or ask for Roblox credentials.
- Technical and security data: coarse rate-limit counters keyed to IP addresses to prevent spam and botting, and an audit log of administrative and staff actions.
3. How we use it
To run the city, dispatch and the CAD; manage rosters, shifts and staff activity; prevent abuse, spam, and fraud; and provide support. We use AI in a few places: AI dispatch and record summaries inside the CAD, and the site support assistant. In each case the relevant text or statistics (never your API key) are sent to Anthropic's API solely to generate that response. We do not use your data to train third-party AI models, and we do not send Anthropic anything beyond what is needed to answer the request in front of it.
4. Who we share it with
- Service providers: Netlify (hosting and encrypted storage), Discord (login and report delivery), Stripe (card payments), Roblox (gamepass verification), PRC (your server's API), and Anthropic (AI summaries). Each receives only what its function requires. Some of these providers store or process data outside Australia (primarily the United States); by using the Service you acknowledge this overseas disclosure under APP 8.
- Other users: your listings, host username, banner, approved advertisements, and any news you publish are public by design. Your reports are private to you and any extra recipient you choose.
- We do not sell personal information. We disclose it to law-enforcement or authorities only where we are legally required to, or to protect the safety of users.
5. Security
Sessions use signed cookies marked HttpOnly, Secure, and SameSite. ER:LC keys are encrypted at rest with AES-256-GCM. Staff and administrative actions require server-verified roles, are rate-limited, and are audit-logged; privileged access is scoped to the minimum each role needs. No system is perfectly secure, so if we become aware of an eligible data breach likely to result in serious harm, we will notify affected individuals and the Office of the Australian Information Commissioner (OAIC) as required by the Notifiable Data Breaches scheme.
6. Retention and deletion
Data is kept while your account is active. "Delete account" in Settings immediately and permanently removes your account record and your encrypted API key. Deleting a CAD removes that CAD's departments, members, calls, activity log and records permanently, for everyone in it; this cannot be undone. If you leave a CAD, the records you filed remain with that CAD, because they belong to that community's shared history rather than to you alone. If you want your own material removed from a CAD you no longer belong to, contact its owner, or contact us and we will help. Coarse rate-limit counters and audit entries recording staff actions may be retained for security and fraud-prevention purposes for up to 12 months.
7. Your rights
You can access and correct your information from Settings at any time, or contact us via the support form to request access, correction, or deletion, or to make a privacy complaint. We will respond within a reasonable time (and within any period the Privacy Act requires). If you are not satisfied with our response, you may complain to the OAIC at oaic.gov.au.
8. Children
The Service is built around games rated for teens. We do not knowingly collect more information from under-18 users than the Service requires, and we do not use minors' data for targeted advertising. A parent or guardian can use the support form to request deletion of a minor's account.
9. Changes
We will post any changes to this page and update the date above. Material changes to how we handle personal information will be announced on the site before they take effect.
We mean what we say here. Where these documents promise something — encryption, no command access to your server, accurate plan features, honest pre-launch projections — we hold ourselves to delivering it. Should these documents change, to the best of our ability we will notify all customers and patrons affiliated with our services.
